Publications Coordinator

Reporting to: Head of Publications, Library and Archive

Job Location: Sharjah Emirate, United Arab Emirates (On-site)

Roles and Responsibilities

  • Oversee the production of written materials, often managing and maintaining articles, essays, visual contents, bibliographic and indexes, and managing the overall process of creating publications. This may include editorial work, writing articles and formatting of content.
  • Works closely with Line Manager and the team on coordination and execution of all related daily and administrative tasks for ongoing projects at the Department in addition and following-up on office-related queries. These include all internal book productions or co-productions; the annual Publishing Grant and Art Book Fair (Focal Point) as well as the warehousing, sale and distribution of its books, internally and externally.
  • Enforces and develops the yearly department calendar and project timelines as well as setting and following the operational framework for overall and individual projects.
  • Liaising on-site and offsite programmes or events (namely book fairs and booths) and supervising the seamless distribution, execution and communication of all outputs and products of the Department and working alongside internal and external stakeholders.
  • Facilitating the development of publications through internal processing (research, contracts and agreements, budgets, image sourcing, obtaining rights and other necessary credits information, developing colophons and acknowledgments) as well as with external teams and freelancers involved (editors, designers, authors, translators, image editors, printers, artists, co-publishers, distributors, partner institutions, museums and organizations, shippers).
  • Oversees and evaluates all content produced within the Department, both for marketing and original book content, for compliance with policies, style and tone, and the representation of the institution in the books.
  • Organize, coordinate, write and compile content -- text, image, caption -- used in publications for design and production.
  • Perform other research and learning projects associated with SAF programmes.

Required Qualifications, Experience and Skills

  • Manage personal daily schedule and prioritize tasks.
  • Ensures timely delivery of projects and tasks.
  • Team player and supports functions of the Department and SAF.
  • Able to work on time-sensitive and high-pressure projects, including work in evenings and weekends.
  • Provide feedback, ways for internal improvements, and support the positive perception of the institution.
  • Interest in writing and editing artistic practices and experimental art-related research projects.
  • Familiarity with the publishing industry and the making of art books.
  • Experience in developing content, didactic materials, and the contemporary art / museum sector.
  • Two-to-three-year experience working in editorial or publishing houses and the development unique and bespoke publishing projects.
  • Understanding of book retailing, shipping, and inventory.

Conditions of Work

The role is a full-time position based in Sharjah, with working hours from 9:00 AM to 5:00 PM, Monday to Thursday, and occasional evening or weekend work as needed.
